Who is responsible?

What we collect and why

The initial enquiry form asks for your name, email, optional telephone number, enquiry type and a short message. We use this information to respond and discuss next steps. For referrals, we ask for the referrer’s own information only. Please do not submit sensitive case details or documents.

Our lawful basis

We use initial enquiry information in our legitimate interests: to answer requests made to us and protect our website from misuse. We limit the form to basic contact information and a short message. You can object to this use by contacting us. This form is not intended for sensitive personal information.

Where information goes

On the WordPress website, enquiries are passed to the configured email service for delivery to info@unioracic.co.uk. The enquiry plugin does not save message content in the WordPress database. Hosting, email providers and any mail-logging plugins may process or retain information.

SiteGround hosts this website and Microsoft 365 handles verification emails and enquiries sent to info@unioracic.co.uk. Information is intended for Uniora staff handling your enquiry and these service providers. Contact us for details of the processing arrangements and any international-transfer safeguards relevant to your enquiry.

How long we keep it

Enquiry emails are kept for handling your request and necessary follow-up. When deciding whether to retain them, we consider whether the enquiry is still open, whether a related service or complaint continues, and whether a legal obligation requires retention. Contact us to ask for deletion or details about your enquiry. Verification challenges expire after 10 minutes; their email and browser identifiers and codes are stored as hashes. Abuse-prevention counters expire after 10–15 minutes. Expired technical records may remain until routine WordPress cleanup. No enquiry message content is saved by the form plugin, and email-content logging is disabled.

Your rights

Depending on the circumstances, you can ask to access or correct your information, request deletion or restriction, object to processing, or request data portability. Where processing relies on consent, you can withdraw it. Contact us to exercise your rights. You can also raise a concern with the ICO.

Cookies and external services

This theme adds no analytics, advertising cookies or embedded maps. WordPress and the hosting service may use essential cookies, including for administrator sign-in. Map and fundraising links take you to external websites with their own privacy policies.

The contact and support pages set the essential uniora_browser cookie for up to one hour. This random identifier ties your verification code to your browser; it contains no name, email address or message. You must allow it to use the verified form. Alternatively, email or telephone us. Verification confirms access to an email address, not a person’s identity.

This notice covers initial website enquiries. Other services require their own privacy information. We do not automatically subscribe enquirers to marketing.
